Creating users
How to create many accounts at once, in an organisation and optionally a group, and hand out the temporary passwords.
Create users creates many accounts at once. Everyone gets a username and their own temporary password, which they change at their first sign-in.
Where to find it: Administration → Users → Create users (/admin/users/new), or Create accounts on a group’s page, which preselects that group.
It takes three steps: Names, Preview, Credentials.
1. Names
Section titled “1. Names”- Choose the Organisation (if you administer several).
- Choose a Group, or No group. When the organisation has no groups, No group is already chosen. Is the group you need missing? Select New group… to create it without leaving the page.
- In Names, enter one person per line: given name, then family name. You can also paste columns from a spreadsheet or select Upload CSV….
- Choose the Name order: Given name first or Family name first.
- Choose how Usernames are made: Prefix and number or From names (see below).
- Select Preview.
You can create up to 200 accounts at a time.
Names, CSV files and name order
Section titled “Names, CSV files and name order”- In a line without separators, the last word is the family name (Given name first) or the first word is (Family name first). Any further given names stay with the given name.
- A line with a tab, semicolon or comma is split into columns: the first two columns are the given and family name, in the chosen order.
- A first line that looks like column titles (“Given name, Family name”) is skipped.
- A CSV file can be UTF-8 or Windows-1257 (older Lithuanian Excel). Columns titled “Vardas” and “Pavardė” (or “First name” and “Last name”) are found by themselves and set the order; otherwise the first two columns are used. The names from the file appear in the text box, so you can correct them before the preview.
Usernames
Section titled “Usernames”| Method | Example | How they are made |
|---|---|---|
| Prefix and number | jp52 |
The prefix and a number. Numbers continue after the highest one in use. The prefix is required. |
| From names | alex.example or jp.alex.example |
The first given name and the family name in Latin letters (Lithuanian letters lose their accents: ą → a, š → s…). The prefix is optional. If the name is taken, a number is added: alex.example2. |
A prefix has up to 16 Latin letters and digits, and starts and ends with a letter. The field starts with the organisation’s prefix (set by a system administrator), but you can change it for this batch.
2. Preview
Section titled “2. Preview”The preview tells you how many accounts will be created and where, and lists every line with its username.
- Problems (red) block creation: “Needs both a given and a family name”, “Name is too long”, “Name has unusual characters”. Select Back to names and fix the list.
- Warnings (yellow) don’t block creation: “Listed more than once”, “Someone with this name is already in the organisation”. Check that you aren’t creating a second account for the same person.
When there are no problems, select Create N accounts. The usernames are checked again during creation: if someone else creates accounts at the same moment, numbers can shift. The final usernames are on the credentials sheet.
staff/organisation/create-users-previewWhat is created
Section titled “What is created”- Accounts with temporary passwords that must be changed at the first sign-in.
- Membership of the organisation (with no extra role).
- With a group: membership of the group, and a student place in every course the group or its parent group is attached to.
Everything is created together: if anything fails, no account is created and the list you entered stays.
3. Credentials
Section titled “3. Credentials”- Print cards: one card per person (two per row) with the name, username, temporary password, sign-in address and a reminder to choose their own password. Cut them apart and hand them out.
- Download CSV: columns Name, Username, Temporary password, Group (when you chose a group) and Sign-in address. The file is made in your browser.
- Finish: confirm with I have saved them. The group’s page opens or, without a group, the organisation’s users.
If you try to leave the page another way, the browser warns you. If someone’s password gets lost, reset it in the user panel.
