Organisations
Creating organisations, their admins, archiving and the Needs attention list.
Groups, courses and users belong to an organisation. Only system admins create, rename and archive organisations; organisation admins see their own organisation read-only and manage only its list of admins.
Every organisation is in Administration → Organisations. Switch between Active and Archived at the top. Clicking a row opens the organisation’s panel beside the list: prefix, creation date, numbers of groups, users and courses, and its admins.
admins/administration/organisationsNew organisation
Section titled “New organisation”- Click New organisation.
- Enter a Name.
- If you want numbered usernames (such as
jp1001), enter a Username prefix: up to 16 Latin letters and digits, starting and ending with a letter. Optional. - Click Create organisation.
You can also create an organisation while creating accounts: Administration → Users → Create users, New organisation… at the end of the organisation list.
Name and prefix
Section titled “Name and prefix”In the organisation’s panel, click Edit…, change the name or prefix and save. The prefix is used only for new numbered usernames; existing usernames don’t change.
Organisation admins
Section titled “Organisation admins”Admins manage the organisation’s users, groups and other admins.
- In the organisation’s panel, click Add admin.
- Choose an active account. If the person isn’t a member of the organisation yet, they become one too.
- Click Make admin.
To remove one, choose Remove admin role… in the admin’s row menu. The person stays in the organisation as a teacher. Organisation admins can’t remove the last admin; system admins can.
Archiving and restoring
Section titled “Archiving and restoring”- In the organisation’s panel, click Archive….
- Confirm: Archive organisation.
An archived organisation disappears from lists, and its admins can no longer manage it. Groups, users and history stay. An organisation with active courses can’t be archived: archive the courses first (Administration → Courses).
To restore: switch to Archived, open the organisation and click Restore organisation.
Needs attention
Section titled “Needs attention”Needs attention appears above the organisations when something was left unfinished by the import from the old system.
| Entry | What to do |
|---|---|
| “…: merged from several names” | The import merged several similar old names into one organisation. Check the name (change it with Edit… if needed) and click Mark as reviewed. |
| “…: no organisation” (a course) | Until the course has an organisation, organisation admins can’t see it. In the row menu choose Assign organisation…, pick the organisation and click Assign. It can’t be changed here afterwards. |
| “… belong to no organisation” | Click Show users, open a user and choose Add to organisation…. |
Courses across organisations
Section titled “Courses across organisations”For a system admin, Administration → Courses lists every organisation’s courses, grouped by school year, with an organisation filter. You can archive and restore several courses at once here. Students no longer see an archived course; staff and admins can still read and restore it.
Managing groups, creating accounts and running courses within an organisation is described in the section for staff.
